Privacy Policy

Rook AI ("Rook", "we", "us") provides an AI-powered sales-coaching platform for car washes and other retail businesses. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website, our employee and manager web apps, and our SMS messaging program.

Information we collect

• Account information. Name, email address, mobile phone number, role, and employer, provided by the business that enrolls you or by you when you set up your account.
• Coaching data. Audio clips of sales interactions captured at the business's location, transcripts, voice fingerprints used to identify which employee is speaking, scores, and coaching activity.
• Usage data. Log data, device and browser information, and how you interact with our apps.

How we use information

• To provide sales coaching, scoring, leaderboards, and reports to employees, managers, and owners.
• To send account and coaching notifications, including account setup links and reminders when a coaching drill is assigned.
• To operate, secure, and improve our services.

SMS / text message program

If your employer enrolls you in Rook and you have consented to receive work-related texts, we may send you SMS messages for account setup (a one-time welcome link to set up your coaching account) and occasional coaching notifications (for example, when a new drill is assigned).

• Message frequency. Message frequency varies. Typically this is a one-time onboarding message plus up to a few coaching reminders per week.
• Cost. Message and data rates may apply.
• Opt out. Reply STOP to any message to stop receiving texts. Reply HELP for help.
• No sharing of mobile information. We do not sell or share your mobile phone number or SMS opt-in consent with third parties or affiliates for their marketing purposes. Mobile information is used solely to operate the Rook messaging program. Text messaging originator opt-in data and consent are not shared with any third parties.

How we share information

We share information with the business that enrolled you (your employer) so managers and owners can review coaching results. We use service providers to operate our platform — including cloud hosting, transcription, and message delivery — who process data only on our behalf. We may disclose information if required by law. We do not sell your personal information, and as noted above we never share mobile phone numbers or SMS consent for third-party marketing.

Data retention

We retain coaching data for as long as your employer maintains an account with us, subject to our retention schedules (for example, sales videos are deleted after 30 days while cleaned audio used for model quality may be retained). You may request deletion as described below.

Your choices

You can opt out of texts at any time by replying STOP. You may contact us to access, correct, or delete your personal information. Because your account is administered by your employer, some requests may be directed to them.
